Bluebeam plus Excel vs Quotiqa for fit-out quotes

A workflow comparison for fit-out estimators using PDF markups in one place and quote spreadsheets somewhere else.

Bluebeam plus Excel is a perfectly reasonable estimating workflow. It is flexible, familiar, and hard to beat when the team already knows where every formula lives.

The problem is not that the tools are bad. The problem is that the quote lives in a different artifact from the measured plan.

Where Bluebeam plus Excel works

For many fit-out teams, the current workflow looks like this:

  • Mark up the PDF in Bluebeam or another PDF tool.
  • Count and measure scope by trade.
  • Transfer quantities into Excel.
  • Apply rates, markups, exclusions, GST, and terms.
  • Format the client quote somewhere else.

That workflow is transparent and easy to customize. It is also easy to audit when the estimator is disciplined.

Where the handoff starts costing time

The handoff between PDF markup and quote sheet is where drift appears:

  • A quantity changes on the plan but not in the spreadsheet.
  • A quote row is rounded without the source quantity being visible.
  • A sell rate is changed but the margin impact is reviewed later.
  • The final PDF needs manual cleanup before the client can see it.

None of these are dramatic problems. They are small delays that repeat on every quote.

What Quotiqa changes

Quotiqa keeps the estimator in a manual, visible workflow, but connects the plan and the quote schedule:

  • Calibrate the PDF.
  • Measure lines, areas, and counts by trade.
  • Assign quote items.
  • Price with cost, markup, sell, and margin visible.
  • Export client PDF, CSV, XLSX, or subcontractor packages from the same source.

You still decide what to measure. The difference is that the measured source and the commercial output do not split apart.

Which workflow should you keep?

Keep Bluebeam plus Excel if flexibility matters more than speed, or if your spreadsheet is already a company system with deep logic.

Test Quotiqa if your bottleneck is the quote-sheet rebuild, the margin review, or the final client-ready export.

The simplest comparison is not a feature checklist. Open the sample project, then try one real PDF during the 14-day trial. If the second quote is faster than the first, the workflow is doing its job.
